Secure efficient and timely handling of incoming documents and certificates required for import and export declaration processes. Covers all customs declaration systems used and manually processed countries.
Secure customs relevant documents are available on time to secure timely release of imports and exports.
Secure they are properly registered, distributed, filed/archived according to import and export requirements of assigned country or region and company business needs. This includes issuance and maintenance of certificates of origin, free trade agreement (FTA) documents, exporter certificates, licenses, attestations, etc..
Proactively identify missing documents and certificates prior to shipment arrival and declaration filing. Secure missing documents and certificates or proactively administer the claims process with suppliers when certificates cannot be obtained.
Proactively investigate and analyse errors, risks and controls related to documentation and certificate handling and registration. Secure resolution where compliance or operational standards are not met
Ensure timely and accurate registration of certificates
Distribute documents and certificates in a manner required by assigned country(ies)
Archive and file documents in accordance with approved record retention protocols and procedures for assigned country(ies). As the preferred method of record keeping and archiving is electronic, scanning will be required
Contribute to constant awareness of the customs operational processes concerning documents and certificate requirements. Use awareness to continuously evaluate current ways of working, identify control weaknesses, contribute, and take initiative for constant development of operational efficiencies, recommending solution enhancements and implementing improvements together with regional COSC, local country customs team(s) and ISAG.
Support assigned country(ies) during internal and external audits
Secure and maintain competence regarding assigned countries documentation and certificate requirements as well as systems used within the Customs organization for customs, operations and compliance.
Prepare and validate customs declaration data as per working instructions and create customs declarations in system
Ability to organize and manage daily assignments and tasks according to priority and deadlines.
Understanding of working in a routine, process-oriented business structure and environment.
Analytical knowledge to focus on details, develop root cause analysis and follow up on deviations by bringing recommendations and resolutions.
Intermediate knowledge and skills in use of Microsoft Office products.
Fluency in English (written and oral)
